Suggestions for E-mailing Assignments

Out lined below is probably the easiest solution to the compatibility issue of emailing assignments or documents.

Problem:
A student composes an assignment using Word Perfect and sends that document as an
ATTACHMENT using an email client such as Netscape or Eudora. The recipient cannot read the
attachment because they don't have Word Perfect on their system. They may have Microsoft Word but it is an old version and cannot filter the document. There are many problems that can occur when sending attachments when it is unknown what program the recipient might have on their system.

Solution:
Sending the assignment by straight text is a simple and foolproof method. This method involves copying the document text and pasting it into the body of an email document.

1. Use WHATEVER word processor you wish type your document.
2. Make sure your cursor is in the document body.
3. Hold down the "control" key and hit the "a" key. This selects and highlights ALL of the text in your
document.
4. Hold down the "control" key and hit the "c" key. This COPIES all of the highlighted text.
5. Now open Netscape, Eudora, or whatever email client you use, address it, and put the subject in.
Then click in the body of the email to position the cursor.
6. Now you want to PASTE the text so hold down the "control" key and hit the "v" key for paste.
We can't use the "p" key because that is used for PRINT)

All of the text that you had selected, copied and paste should now be in the body of the email
document. You will lose formatting such as bold text, etc. but all compatibility problems are solved. It doesn't matter if the recipient has Microsoft Word, Nissis Writer, Window 3.1, or is on a Mac. All they must have is the capability of receiving email.
In most word processing programs these keyboard shortcuts can also be found under the "Edit"
section.

There are other ways of doing this but the "select all, copy, and paste" commands are standard with all programs.



:-)  Do:

  • type in small case letters ( avoid exclusive capital usage )

  • use meaningful subject lines ( Module1 assignment 1  )

  • keep messages to only one subject

  •   sign messages with your name and e-mail address ( signature file )

  • use emoticons, or smileys :-)  to convey tone of voice if suitable

  • try to keep e-mail messages short ( introducing an assignment )
